1. Introduction
These Terms of Service (“Terms”) govern your use of the website and services of Vacation Vibes Travel and Tourism LLC (“Vacation Vibes”, “we”, “us”). By accessing our website, requesting a quotation, submitting an inquiry, confirming a booking, or making payment, you agree to these Terms. If you do not agree, please do not use our services.
2. Services Provided
We provide travel-related intermediary and coordination services, which may include, where applicable:
- Travel arrangements and itinerary planning.
- Tour packages and customised itineraries.
- Airline ticketing assistance and reservations.
- Visa support and documentation assistance (where offered).
- Accommodation bookings.
- Ground transportation and related services.
Specific inclusions are set out in your confirmed quotation or booking confirmation. We act as an intermediary between you and independent third-party suppliers unless otherwise expressly stated in writing.
3. Eligibility
You must be legally capable of entering into binding contracts in your jurisdiction, or you must act with the authority of a parent, guardian, or authorised representative. You confirm that information you provide is accurate and complete.
4. Quotations, Bookings and Confirmation
Quotations are invitations to treat and are subject to availability, supplier rules, and timely payment. A booking is not confirmed until we issue written confirmation (including by email) and any required deposit or payment has been received and cleared in accordance with our instructions. Supplier availability, fares, and rates are not guaranteed until confirmed. We may refuse or cancel a booking if payment is not received, or if suppliers decline or cannot fulfil the service.
5. Pricing and Payment
Prices may change due to airline fare changes, hotel rates, currency exchange rates, taxes, fuel surcharges, or supplier revisions before final confirmation. Payment must be made in the currency and by the method specified in your invoice or confirmation. If payment is late, we may suspend work, release provisional holds, or cancel bookings, and any applicable supplier penalties may apply.
6. Cancellations, Amendments and Refunds
Cancellations, amendments, and refunds are subject to supplier terms and our service fees. Airlines, hotels, and other providers may impose penalties, fees, or non-refundable conditions. Refunds (if any) depend on supplier policies and receipt of funds from suppliers; processing times may vary. Administrative or service charges may apply to changes or cancellations we handle on your behalf.
7. Travel Documents and Customer Responsibilities
You are solely responsible for holding a valid passport, visas, permits, health requirements, and any other travel documents required for your itinerary. Many destinations require minimum passport validity beyond your return date. We are not liable for denied boarding, denied entry, deportation, delays, or losses arising from incomplete, incorrect, or expired documents, or from non-compliance with immigration or health rules.
8. Visa Support Services
Where we offer visa assistance, we may help with documentation, submission guidance, or coordination as permitted by applicable rules. Visa approval or rejection remains solely with the relevant embassy, consulate, or authority. We do not guarantee approval, processing times, or outcomes. Fees paid to authorities or third parties may be non-refundable regardless of outcome.
9. Airline, Accommodation and Transport Suppliers
Flights, hotels, and transport are provided by third parties under their own terms and conditions. Matters such as schedules, baggage, rebooking, no-show, early check-in, late check-out, and route changes are governed by the supplier’s rules. We facilitate bookings as an intermediary and are not responsible for supplier performance, delays, or operational decisions.
10. Tour Packages and Itinerary Changes
Package inclusions follow the confirmed quotation or booking. Itineraries may be adjusted due to weather, safety, local regulations, operational reasons, supplier availability, or force majeure events. Where changes are material, we will use reasonable efforts to offer suitable alternatives; any price difference or refund will depend on supplier terms and actual recoverability.
11. Use of the Website
You agree not to:
- Use the website for unlawful, fraudulent, or misleading purposes.
- Attempt to gain unauthorised access to our systems, data, or other users’ information.
- Interfere with or disrupt the site, servers, or networks.
- Use automated scraping, harvesting, or excessive requests without our prior written consent.

We are not liable for acts, omissions, defaults, delays, cancellations, or service failures of airlines, hotels, transport operators, or other suppliers. We are not liable for indirect, consequential, or incidental losses, loss of profit, or loss of enjoyment. Our total liability arising out of or in connection with a specific booking or service shall not exceed the amount you paid to us for that booking or service (excluding amounts passed through to suppliers), except where liability cannot be limited by law.
We strongly recommend comprehensive travel insurance covering cancellation, medical expenses, baggage, and repatriation.
15. Force Majeure
We do not accept liability for failure or delay caused by events beyond our reasonable control, including natural disasters, severe weather, epidemics or pandemics, war, terrorism, civil unrest, labour disputes, government actions, travel bans, or supplier insolvency. In such circumstances, we will use reasonable efforts to assist, but refunds or alternatives will depend on supplier terms and recoverability.
16. Complaints and Claims
Please raise concerns promptly during travel or service delivery so we can try to help while you are still in destination. Post-travel claims must be submitted in writing with supporting evidence within a reasonable period after the end of the trip; we may need to refer matters to suppliers under their deadlines and rules.
17. Governing Law and Jurisdiction
These Terms are governed by the laws of Sri Lanka. Subject to mandatory consumer protections that may apply elsewhere, you agree that the courts of Sri Lanka shall have exclusive jurisdiction over any dispute arising from or relating to these Terms or our services, unless we agree otherwise in writing.
18. Changes to These Terms
We may update these Terms from time to time. The updated version will be posted on this page with a revised “Last updated” date. Continued use of the website or services after changes constitutes acceptance of the revised Terms, except where prohibited by law.
