Terms & Conditions — Vacation Vibes

1. General Terms
These Terms & Conditions apply to all services provided by Vacation Vibes including but not limited to travel arrangements, tour packages, airline tickets, visa services, accommodation bookings, and transportation services.
By accepting the quotation or making payment, the client or the agent confirms that they have read, understood, and agreed to these Terms & Conditions.
2. Price Validity
All prices quoted are subject to availability and may change without prior notice due to but not limited to:
- Airline fare changes
- Hotel rate revisions
- Currency fluctuations
- Government taxes or surcharges
Prices are confirmed only upon receipt of the required payment or full payment.
3. Payment Terms
Bookings will be confirmed only upon receipt of the required payment or full payment. The company reserves the right to cancel or release bookings if payments are not made within the specified timeframe. Accepted payment methods may include:
- Bank transfer
- Online payment
- Credit/debit card
- Cash payment
4. Currency and Exchange Rate
All payments must be made in the currency specified in the quotation or invoice. If payment is made in another currency, the applicable exchange rate at the time of payment will be applied.
5. Booking Confirmation
A booking is considered confirmed only after:
- Written confirmation from the company, and
- Receipt of the required payment or the full payment.
Availability of hotels, flights, or other services cannot be guaranteed until confirmation.
6. Cancellation Policy
Cancellation charges may apply depending on the timing of cancellation and the policies of service providers. Cancellation fees may be charged by:
- Airlines
- Hotels
- Transport providers
- Tour operators
The company reserves the right to deduct applicable service charges and supplier penalties.
7. Amendments and Changes
Any request to modify confirmed bookings (such as travel dates, passenger names, hotels, or services) may be subject to:
- Supplier approval
- Additional charges
- Administrative fees
Changes are subject to availability at the time of request.
8. Refund Policy
Refunds, where applicable, will be processed after receiving funds from the respective service providers. Refund processing time may vary depending on supplier policies and banking procedures. Administrative fees and non-refundable service charges may apply.
9. Documents Responsibility
It is the responsibility of the traveler to ensure that all required documents are valid, including but not limited to:
- Passports
- Visas
- Permits
- Other required documents
Passports must normally have a minimum validity of six months from the date of travel. Failure to obtain proper documentation may result in denied boarding or entry, for which the company will not be held responsible.
10. Visa Processing Services
Visa processing services provided by the company are limited to documentation support and submission. Visa approval or rejection is solely at the discretion of the relevant embassy or immigration authority. The company cannot guarantee visa approval and will not be responsible for any losses resulting from visa rejection.
11. Airline Ticketing Terms
Air ticket bookings are subject to the fare rules and conditions imposed by the respective airline. These may include restrictions related to but not limited to:
- Cancellations
- Refunds
- Reissuance
- No-show penalties
Airlines such as Emirates, Qatar Airways, and Sri Lankan Airlines apply their own ticketing policies which will govern the booking.
12. Tour Package Services
Tour packages may include services such as accommodation, transport, sightseeing tours/tickets, etc. Changes in itinerary may occur due to:
- Weather conditions
- Operational requirements
- Local regulations
- Supplier circumstances
The company will make reasonable efforts to provide similar alternatives where possible.
13. Accommodation Services
Hotel reservations are subject to the policies and availability of the respective hotel or accommodation provider. Early check-in or late check-out is subject to availability and may incur additional charges.
14. Transportation Services
Transportation services may be provided as part of a tour package or as a standalone booking and are arranged through third-party suppliers. All services are subject to the agreed itinerary, timing, and route; any additional usage may incur extra charges. Pick-up timings are approximate and may be affected by traffic or operational conditions; clients must be available on time. The company acts as an intermediary and is not liable for delays, breakdowns, or issues arising from third-party transport providers.
15. Force Majeure
The company shall not be held responsible for failure or delay in performing obligations due to circumstances beyond its control, including but not limited to:
- Natural disasters
- Political unrest
- War or terrorism
- Strikes or labor disputes
- Pandemics
- Government restrictions
16. Liability Limitation
The company acts as an intermediary between clients and service providers such as airlines, hotels, and transport operators. Therefore, the company shall not be liable for:
- Service disruptions
- Delays
- Accidents
- Loss or damage of personal belongings
- Acts or omissions of third-party suppliers
17. Travel Insurance
Travel insurance is strongly recommended for all travelers to cover unforeseen circumstances including medical emergencies, trip cancellations, or travel disruptions.
18. Complaints and Claims
Any complaints regarding services must be reported immediately during the trip so that reasonable efforts can be made to resolve the issue. Claims submitted after completion of travel may be subject to review by the respective service providers.
19. Jurisdiction
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Sri Lanka. Any disputes arising from services provided by the company shall be subject to the jurisdiction of courts within Sri Lanka.
20. Acceptance of Terms
Acceptance of the quotation, confirmation of booking, or payment of invoice constitutes agreement with these Terms & Conditions.
